Gia's "Off-Site" Catering Contract for Ordering,  Deposits,
Final Payment Schedule, Head Count and Cancellation Policies
For off site catering orders of 100 people or less, Gia's requires 72 hours prior order placement and a 50% deposit upon order placement. Final head count is due 24 hours prior to event and final balance is due upon order pick up or delivery the day of the event. If cancellation of your order becomes necessary, Gia's requires 24 hours notice to receive a full deposit refund. Notice received under 24 hours is subject to complete deposit forfeiture.

For off site catering orders of 101 people or more, Gia's requires 5 days prior order placement and a 50% deposit upon order placement. Final head count is due 48 hours prior to event and final balance is due upon order pick up or delivery the day of the event. If cancellation of your order becomes necessary, Gia's requires 48 hours notice to receive a full deposit refund. Notice received under 48 hours is subject to complete deposit forfeiture.





Gia's "On Site" Catering Contract for
Ordering, Deposits, Payment Schedule, Head Count, Cancellation,
General Terms, Conditions, General Information and Policies

ORDERING, DEPOSIT, FINAL PAYMENT, HEAD COUNT AND CANCELLATION

For on-site catering at Gia's, we require 14 days prior order notice and a 50% deposit upon order placement, as well as, a credit card placed on file with us, which will be pre-authorized for use of paying final bill due. Final head count is due within 7 days of the event and final payment will be charged to your credit card the day of the event. Final payment is based on the guaranteed count and is not subject to reduction. If attendance exceeds the guarantee, you will be charged the additional fees on your final bill. If damages due to attending guests occur, fees for any damages will be charged on your final bill. If cancellation of your order becomes necessary, Gia's requires 72 hours notice to receive a full deposit refund. Notice received under 72 hours is subject to complete deposit forfeiture.

EVENT SCHEDULING - SET-UP TIME - TAKE DOWN/END OF EVENT TIMES

All deliveries and set up of your music, flowers, room décor, etc. must be made no earlier than three (3) hours prior to your event unless special arrangements have been made with a Gia's Catering Manager.  Set-up and delivery times may need to be changed if there is an event prior to your event. All deliveries and arrial times need to be scheduled with and approved by a Gia's Catering Manager at least 1 week prior to your event.  Equipment may be unloaded and loaded through a FRONT ENTRANCE Gia's door only. All delivery vehicles must be immediately removed from the front entrance after unloading or loading.  Parking is available to vendor vehicles across the street from Gia's in the city parking lot for the remainder of the event.

All equipment, decorations, floral, band instruments, dj's equipment, etc. must be completely removed within 1 hour of the end of your event.  Any overtime incurred due to longer take-down activities will be at the client's expense and will be charged to your final bill.  Gia's Italian Restaurant will not be responsible for any items left; this includes florals, vases, equipment, decorations, client's personal property or client's guests' personal property.

DJ 's AND BANDS

Band or DJ equipment must be neatly set-up along the banquet room wall and may not extend more than 5 feet beyond the banquet room wall. In addition, their equipment must not block any kitchen or service entrance. All cords must be taped down by tape provided by DJ or Band and must be removed by them without damaging Gia's flooring.  No modifications to the designated dance floor and/or DJ/Band area are allowed without prior written approval by a Gia's Catering Manager.

FLORISTS

Florists need to have as much of their product assembled prior to delivery and must check-in with a Gia's Catering Manager upon arrival for direction on set-up.  Florists may not unload or set vases onto any tables inside Gia's facility until approved by Gia's  Catering Manager.  Florists are responsible for providing their own vases, water cans and supplies. All debris, boxes, containers, associated with assembling, arrangement or placement need to be removed by the florist 30 minutes prior to the start of the event.  All florals, centerpieces and decor needs to be removed within 1 hour of the end of the event, unless previously arranged.

PHOTOGRAPHERS AND VIDEOGRAPHERS

Equipment may be housed in Gia's Catering Office or an area approved by a Gia's Catering Manager that will not hinder service or the look/flow of your event.  Location of all set-up needs to be approved by a Gia's Catering Manager upon arrival.

EVENT PLANNERS AND/OR COORDINATORS

All details of the event:  decorating concepts/plan, event time schedule, list of vendors, guests and all delivery arrangements must be provided to and approved by a Gia's Catering Manager 7 days prior the event.

DECORATIONS

No nails, tape or staples are allowed on any walls inside Gia's Italian Restaurant. No open flames or sparklers are permitted. All candles must be enclosed in a hurricane type enclosure. At no time will taper candles be allowed. Votive candles with holders may be used. Any costs associated with burns, wax or smoke damage will be incurred by the client and will be charged to the final bill. In addition, client, client's guest and/or vendors are not permitted to use ladders or exterior equipment in decorating without written approval of  a Gia's Catering Manager.

No glitter, confetti or decoration smaller than one half inch (1/2") in diameter may be used for decorating.  PLEASE NOTE: A $100.00 cleanup fee will be applied to your final bill if this policy is not adhered to.


UNPLANNED OR UNPRE-ARRANGED GIA'S STAFF LABOR

Labor needed for any delivery/set up assistance, hanging of decorations or other Gia's staff labor provided that was not previously arranged and/or approved by a Gia's Catering Manager will be an additional charge to client's final bill at a rate of $10.00 per hour x (multiplied by) the number of Gia's staff members provided. If overtime of a Gia's staff member occurs, client will be billed at the according rate in full.

LINENS

Standard Solid White or Solid Color Linens are included with menu prices.  Our Gia's Catering Manager's have many other patterns and styles that can be rented to make your event unique. However, you must arrange a "Linens specialty viewing and ordering" appointment with a Gia's Catering Manager  at least 7 days prior to your event. Specialty linen order charges will need to be signed for by you and your Gia's Catering Manager as they will be charged on your final bill.

SMOKING POLICY

Gia's Italian Restaurant is a non-smoking facility. Smoking is permitted ONLY outside of the building and must be at least 25 feet away from any Gia's or Factory Pizzeria entrance. Smoking  anywhere else in or around our facilities will not be tolerated and subject to fines. Any costs associated with burns or smoke damageor fines will be incurred by the client and added to final bill. Ash trays and receptacles are located outside of each entrance for Smokers' trash - any additional clean-up associated with cigarette and cigar remnants will be calculated at the end of the event and charged to the final bill.

CHILDREN - MINORS - OTHER GUEST BEHAVIOR

Children and minor guests are warmly welcomed at gia's; however they require close supervision by an adult at all times.

Clients and their guests, vendors, etc.. are required at all times to act in an orderly and respectable manner.  There is a No Tolerance Policy regarding the following actions which are prohibited:  Fighting; Providing alcoholic beverages to underage minors; Use of drugs; Carrying in alcoholic beverages from personal vehicles; Carrying weapons or firearms; Defacing or damaging any of Gia's or Factory Pizzeria's Property, including but not limited to: Building, Equipment, Furnishings, Supplies, Surrounding Grounds  and/or any other items not listed here.  Evidence of these activities will result in the immediate termination of the Event and there will be NO return of the event deposit or refund of any fees. In addtion, any such damages will calculated and added to the event's final bill.

Failure to comply with any of the above conditions, will result in the forfeit of your event deposit and you will be responsible for any labor, repair, replacement  or other items mention in the above sections.
